POSITION SUMMARY: Manage the overall operation of Burien Town Square to ensure the highest level of resident safety, security and satisfaction and to ensure compliance with all relevant state, county and city regulations and building codes.

JOB DESCRIPTION

GENERAL:

Burien Town Square Facility Manager is a salaried, non-exempt position which requires a 40-hour work week and flexible on-site hours depending on specific project needs. The Facility Manager is always to carry a cell phone to remain in contact with the property management team. Normal available, on duty hours are 7 AM-4 PM, Monday through Friday. Only Association business is to be conducted during the agreed upon work hours.

The Facility Manager reports to and takes direction the Association Manager and/or Property Management Company.

The Facility Manager is directly responsible and accountable for the maintenance, cleanliness, and appearance of the building common areas and the perimeter, including landscaping, usual maintenance of the equipment and appurtenances, coordinating access for common preventative maintenance, service, and repairs with vendors and contractors, and assisting local public safety agencies by providing access during emergencies and for routine inspections.

The Facility Manager is to provide a written monthly maintenance and operations report to the Association Manager for inclusion in the Management Report. The Facility Manager may be asked to attend monthly Board meetings

Responsibilities and Duties

1. Office Management

1.1. Maintain site records

1.2. Maintain petty cash fund for supplies and maintain updated report of expenditures

1.3. Maintain key storage system

1.4. Activate and deactivate key fobs as needed

1.5. Keep accurate records of key, fob and remote assignments

1.6. Manage office email and cell phone

1.7. Maintain supply inventory and purchase supplies as needed

1.8. Manage move ins, move outs and deliveries

2. General Cleaning Duties

2.1. Daily walk around exterior and interior inspecting for damage and cleanliness

2.2. Restock restrooms and Community Room as needed

2.3. Keep garages and stairwells free from litter and excess debris

2.4. Pressure wash and clean outdoor areas as needed

2.5. Have windows cleaned annually or twice annually, as determined by the Board

3. General Management Duties:

3.1. Facilitate and monitor the implementation of projects, repairs or replacements

3.2. Oversee vendors and contractors

3.3. Assist in obtaining bids/proposals

3.4. Facilitate and coordinate projects with vendors, owners or others as may be required. Reporting to Emerald directly.

3.5. Review completed projects with vendors and/or contractor for acceptance and payment

3.6. Maintain inventory of supplies and tools

3.7. Keep all storage areas organized and clean

3.8. Minor repairs of equipment, locks, doors, furniture

3.9. Touch up painting as needed

3.10. Maintain barbecue area, clean as needed

3.11. Winterize areas as needed

3.12. Apply deicer as needed

3.13. Move seasonal items to and from storage

3.14. Normal landscape as needed. (Note we have a regular landscape contractor are primary, so this would be in addition if necessary,)

3.15. Ensure mechanical systems are maintained and serviced

3.16. Keep rooftop scupper drains clean and free of debris

3.17. Solutions for bird deterrents and control/ Clean after birds as needed

3.18. Maintain building mechanical and electrical rooms

3.19. Programming and operation of garage lights and exercise room equipment

3.20. Check lighting, change as needed and clean fixtures as needed

4. Waste Management

4.1. Move recycle from trash chute rooms to recycle dumpsters weekly and as needed

4.2. Coordinate recycling and waste pick up with vendor, reschedule as needed

4.3. Keep trash rooms clean and organized

4.4. Bring the dumpster and recycling to and from the curb for pick up, as needed. Quarterly cleaning.

4.5. Maintain trash containers throughout building and grounds

4.6. Ensure proper disposal of all maintenance, lighting and hazardous waste

5. Community Room:

5.1. Daily walk around the exterior and interior of the community room inspecting for damage and cleanliness.

5.2. Provide a report on the condition of the Community Room after use by homeowner (Note: Board decision needed on deposit or charge for lounge damage or failure to clean.)

6. Move Ins/Outs

6.1. Set up resident in entry system and register fobs

6.2. Post notice when elevator reserved for move in/out

6.3. Inspect for damage and or needed cleaning

6.4. Notify the Board of the date, time and unit number for every scheduled move in/move out and large item delivery.

7. Compliance

7.1. Work with government agencies and representatives to ensure compliance with all applicable laws, rules and policies

7.2. Maintain effective relationships and communication with local emergency services

7.3. Maintain required onsite compliance documents

7.4. Be familiar and knowledgeable on applicable codes, guidelines, rules and compliance regulations

8. Communication

8.1. Communicate with homeowners in a professional manner

8.2. Be available and respond to resident inquires, questions and concerns

8.3. Work effectively with the Board of Directors and Property Manager

8.4. Provide a monthly report to Board of noteworthy happenings, forthcoming events, maintenance needs, repairs or other such information as may be appropriate

9. Outdoor Areas - Pea Patch, Fire Pit, Courtyard

9.1. Keep area in an organized manner – arrange furniture, roll up hose, remove debris, etc.as needed

Other duties as needed and assigned
